Cancellation Policy

Speaker Policy & Engagement Terms 1. Booking & Fees Speaker Fee: The agreed-upon honorarium covers not only the presentation time on stage but also the preparation time, including: Initial briefing call (30-45 mins) Customization of slides and content for your specific event. The delivery of the keynote or panel participation. Deposit: A 50% non-refundable deposit is required to secure the date on my calendar. The remaining 50% is due 7 days prior to the event. VAT (Tax): [Option A if Kleinunternehmer] As a small business (Kleinunternehmer), no VAT is charged. / [Option B] All fees are subject to statutory VAT (19%) where applicable. 2. Travel & Transportation Travel expenses are billed separately from the speaker fee. Origin: All travel is calculated from Wolfsburg, Germany (or Hannover Airport - HAJ). Air Travel: Flights under 4 hours: Economy Flex Flights over 4 hours: Premium / Business Class. Rail Travel: Deutsche Bahn 1st Class Transfers: The Client will arrange or reimburse ground transportation (taxi/Uber/chauffeur) between the airport/station, hotel, and venue. 3. Accommodation & Meals Hotel: For events requiring an overnight stay (or morning events starting before 10:00 AM), the Client provides accommodation in a 4-star hotel Requirement: Reliable high-speed Wi-Fi and a working desk in the room are mandatory. Meals: The Client agrees to cover the cost of all reasonable meals (Breakfast, Lunch, Dinner) during the travel period. This can be handled via a per diem (€60/day) or reimbursement of receipts. 4. Preparation & Content Customization: The fee includes reasonable customization to fit your event theme. Slides: Presentation slides will be provided 48 hours in advance in PDF or PowerPoint format. Note: I retain the intellectual property rights to my slide deck. The Client may not distribute the source file without permission. Recording: The Client may record the session for internal use or attendee replay. However, public broadcasting (YouTube, Social Media) of the full talk requires prior written consent. 5. Cancellation Policy Cancellation by Client: More than 30 days out: Deposit is retained; no further balance due. Less than 14 days out: 100% of the full fee is due. Force Majeure: If I am unable to attend due to illness, transport strikes, or unforeseen emergencies, I will do my best to provide a replacement speaker of equal caliber or offer a virtual keynote. If neither is possible, a full refund will be issued.
